Reservation Information

Keeping a Building Open Past Closing Time

The following charges will be in effect if departments or organizations choose to keep a building open past building hours:

  • Visitors Center (if external guests), Urban Art Galleries (based on alcohol services and size of audience), Walker, Tufte Building
    • $30.00/hr when proper notice is given
    • $42.00/hr when given less than 48 hours
  • Union Bank and Ansin
    • $30.00/hr when proper notice is given
    • $42.00/hr when given less than 48 hours

For departments and SGA Recognized Organizations, this will be charged via your worktag. 

Opening a Building When it is Closed

If organizations or departments are opening the building on a date when it is closed, the following charges will be in effect:

  • Visitors Center (if external guests), Urban Art Galleries (based on alcohol services and size of audience), Walker, Tufte Building
    • Four-hour minimum at $30.00/hr ($120.00) when proper notice is given
    • Four-hour minimum at $42.00/hr ($168.00) when less than 48 hours is given
  • Union Bank and Ansin
    • Four-hour minimum at $30.00/hr ($120.00) when proper notice is given
    • Four-hour minimum at $42.00/hr ($168.00) when less than 48 hours is given
  • For any events that exceed four hours (including setup and breakdown), charges will be assessed per hour on top of the four-hour minimum

For departments and SGA Recognized Organizations, this will be charged via your worktag.

All normal charges for cleanup and damage of furniture or equipment remain in place and will be applied at the discretion of Campus Services. 

Function Room Policies

  1. Posters, including notices, signs, directions, and decorations, on walls, windows, doors, ceilings, etc., require advance approval by management. Informational or directional signs pertaining to a function can be displayed on a portable sign board or easel.
  2. Decorating of any kind, including free-standing, wall-mounted, or hanging, requires advance approval by management.
  3. Use of candles or open flames are not permitted, including catering sternos.
  4. Users must not impair traffic flow outside of function rooms.
  5. Filming or videotaping in function rooms is restricted. Requests to use or the intent to use a function room to film or videotape must be submitted and/or approved in advance by management.
  6. Housekeeping or maintenance problems, including cleanup of spills, are to be reported to Facilities Management by placing an online work order. Negligence and failure to report problems could incur additional expense to the user.
  7. When requesting the Beard, Bordy, or Private Dining Room, you may be required to enter a department or student organization account number. If you are reserving as an individual student, please enter your Emerson ID number.
  8. Bon Appétit is the exclusive caterer for events in the Private Dining Room, Dining Center, Lion’s Den, and Center Stage. Any organization that utilizes external catering in these spaces may lose reservation privileges.

Catering

Emerson College offers catering services for events through Bon Appétit, its food and beverage provider. Emerson Dining provides a complete catering experience for the College community. Arrangements may be made for any occasion, from the most formal dinner to a simple coffee service. The catering menu is available online (Emerson login required). We suggest you call the Catering Office at x8065 (on campus) to discuss the details of your event.

When you request catering services, please provide the following details:

  1. Set up time
  2. Meal time
  3. Ending time
  4. Special programs (awards/speaker/video)  
  5. Menu selection from the catering brochure
Placing a Catering Order
  1. Go to the Emerson College Catering site at least five business days in advance of your event to place your order. If you are a new user, please register.
  2. When placing your order, you must copy your department head. Emerson Dining will not provide service to any event without copying the authorized department head. After placing your order, you and the department head will receive an email copy of the invoice.
  3. ORDERS ARE CONFIRMED IF THE DEPARTMENT HEAD DOES NOT DECLINE THE ORDER.
  4. Any event changes must occur within three business days.
  5. Cancelations must be made 48 hours before your event. You will be responsible for any costs incurred up to the time of cancelation.
  6. The approved event sheet will serve as the catering invoice and will be charged to your budget through Accounts Payable.
  7. Emerson Dining will not provide service to any event without payment through cash, credit card, check, ECCash, or department account number.

External Guests

If departments or organizations are hosting external guests at their on-campus event, these guests should be registered prior to your event. At least 3 business days prior to your event, you must email the below offices your guest list so that they can be checked in the day of your event:

Please be sure to inform your guests that they should have a form of identification with them upon checking in at your event. Any damages incurred by external guests at events are the responsibility of the reserving department or organization. Emerson College staff and faculty may also utilize the iVisitor system for external event guests, in lieu of the above process.

Audio Visual Equipment

Please note that two (2) business days' advance notice is required for equipment requests. All equipment is subject to availability.

The Media Services Center (MSC) delivers and sets up a large variety of equipment in the College’s meeting spaces. MSC staff are available to assist in the setup of any installed in-room equipment. Contact the Media Services Staff at 617-824-8676 or media_services [at] emerson.edu (media_services[at]emerson[dot]edu) with any questions.

MSC can provide the following circulating equipment:

  • 16mm film
  • 35mm slide

Digital Signage

Departments and organizations can submit digital content (images or videos) to the digital signage screens located within the lobby of 172 Tremont Street, or other locations on campus, for posting and display. 

All content must comply with the College’s posting policy and SEAL’s Digital Signage Guidelines, and must be approved by the Campus Centers or Student Engagement and Leadership offices prior to being posted.
