Photocopies and Digital Reproductions

Policies & Procedures

  • Patrons who wish to request photocopies or digital reproductions of Emerson College Archives & Special Collections (ECASC) materials must read, complete, and abide by the code terms of, the Request for Reproductions/Application for Permission to Publish form.
  • Due to limited staff availability, photocopying and digital reproduction requests will be limited to 50 pages.
  • ECASC does not offer rush service. Standard turnaround time for orders is one to two weeks, though this may vary depending on the size and complexity of the order.
  • ECASC is not currently able to provide photographic prints.
  • Digital reproductions delivered electronically via email or web server will not require a postage/delivery fee.
  • Photocopy, digital reproduction, and postage fees do not include fees for research services or permissions.

Resolutions & Formats

Archives staff use standard resolutions and formats for digitizing images and audiovisual materials. Researchers must indicate if alternate resolutions or formats are desired.

  • Low resolution images: 72 dpi, TIFF file format.
  • Hi-resolution images: 600 dpi, TIFF file format.
  • Video: MOV (Apple ProRes 422 (HQ)) or MP4 (H.264 video (2400 kbps), AAC audio (128 kbps)).
  • Audio: MP3 (44.1 KHz, 16-bit,) or WAV (96khz, 24bit).

Special Emerson Community Rates

  • Current students, faculty, and staff seeking to use ECASC materials for class assignments, student organization activities, or projects completed as part of their employment at Emerson College will receive up to 25 photocopy pages, 15 low resolution digital reproductions, or 5 hi-resolution digital reproductions at no cost, except for postage and CD/DVD fees.
  • Current students, faculty, and staff will receive a 20% discount on personal (non-College related) orders.
  • Alumni will receive a 10% discount on all orders.

USPS Postage (contiguous U.S.) $5 per envelope or box. Expedited shipping may incur additional fees.
USPS Postage (Alaska, Hawaii, Puerto Rico) $10 per envelope or box. Expedited shipping may incur additional fees.
CDs/DVDs $5 per CD/DVD
Photocopies First 10 pages are free, and then subsequent copies are:
Letter size, $0.25 per page; Legal size, $0.35 per page
Low resolution digital reproductions (72dpi, max 11” x 17”) $5 per scan.
Hi-resolution digital reproductions (600dpi, max 30” x 40”) $15 per scan.
Digital reproductions of materials larger than 30” x 40” These orders will be assessed and accepted on a case-by-case basis. Fees are discretionary.
Audio and video reproductions Already digitized files, $25 per file. Undigitized items completed onsite, $25 per hour (1 hour minimum charge).
Orders that must be completed by a vendor will be assessed and accepted on a case-by-case basis. Fees are discretionary.

Permissions

Policies & Procedures

  • Patrons wishing to publish or otherwise distribute ECASC materials in physical and/or digital form must complete, and abide by the terms of, the Request for Reproductions/Application for Permission to Publish form. Permission to publish/distribute is granted only when a representative of Emerson College countersigns this application.
  • In cases of works in which Emerson College does not own the copyright and that are not in the public domain written permission must be secured by the applicant from the artist, his/her agent, or the copyright owner and provided to Emerson College before a copy of the work will be released.
  • It is the responsibility of the applicant to obtain permission to publish reproductions from the owner of copyright (the institution, the creator of the record, the author, or his/her transferees, heirs, legatees, or literary executors) and to contact any subjects portrayed in works when such permission is required under relevant privacy laws.
  • Permissions fees do not include fees for research services, photocopies, digital reproductions, or postage.

Special Emerson Community Rates

  • Current students, faculty, and staff seeking to use ECASC materials for class assignments, student organization activities, or activities related to Emerson employment are exempt from permissions fees.
  • Current students, faculty, staff, and alumni seeking to use ECASC materials for personal (non-Emerson College related) projects will receive a 20% discount on permissions fees.

Research Services (Alumni and External Researchers)

Policies & Procedures

  • ECASC staff members can conduct research for alumni and non-Emerson patrons who are unable to visit Emerson College.
  • Due to limited staff availability, the amount of paid research conducted by ECASC staff is limited to eight hours.
  • Research that is not completed on the hour will be pro-rated.
  • ECASC staff may refuse requests for research services during busier times of the year.
  • Turnaround time for conducting research varies by project and the number of hours required, but usually falls between 3 and 10 business days.
  • Research services fees do not include fees for photocopies, digital reproductions, permissions, or postage.

Yearbooks

ECASC maintains a small collection of extra copies of yearbooks. Alumni are welcome to request a copy for a suggested donation of $20. If the yearbook must be mailed (within the U.S.), a fee of $5 per envelope/box will be charged for postage. ECASC does not guarantee that it will have the requested copy and will notify patrons if no copy is available.
