Media Services Equipment Policy

The Media Services Center (MSC) houses video, audio, computer, and projection equipment available for use by Emerson community members. Equipment can be reserved by calling 617-824-8676 or by visiting the Media Services Circulation Desk, located at 180 Tremont Street, Third Floor.

Use policies differ according to the type of equipment and the means of circulation.


Circulating Audio Visual Equipment (Customer Pickup)

Emerson community members (those with current, valid Emerson IDs) are allowed to reserve and pick up the following types of equipment:

Equipment normally circulates for 24 hours or over the weekend from Friday afternoon to Monday morning. Equipment returned late or damaged is subject to the following policy:

Borrowing Duration

Tape recorders and slide projectors 48 hours/or over weekend (Friday afternoon to Monday morning)
Microphones, tape recorders, and small PA systems 48 hours/or over weekend (Friday afternoon to Monday morning)
Data projectors and laptops Duration of the event (one day) or over weekend (Friday afternoon to Monday morning)

Borrowing Limits

It should be noted that students may borrow and assume responsibility for (1) Data Projector, and (1) laptop. If a student needs to borrow more than this, the rental of this equipment must be approved by an Emerson College faculty or staff member, and any potential loss or damage of this equipment thus becomes the responsibility of the Emerson College department for which the equipment is being borrowed.

Production vs. Non-production Students

Portable video equipment is for use by students in non-production courses. Students enrolled in production courses are expected to use the equipment provided by the TRF Equipment Distribution Center (EDC).

The MSC vends both professional and consumer-level mini-DV camcorders for students enrolled in non-production courses. Users of this equipment must be properly trained by an MSC staff member before equipment can be borrowed.

Rental Charges

No charges are incurred by individuals/groups using equipment or spaces for course-related activities. Individuals and groups requiring equipment or spaces for extracurricular and/or special events will be accommodated only after curricular needs have been met and will be charged the rates in our rate sheet. Late Fees

Tier 1 = $25 / Day: All equipment
Tier 2 = $15 / Day: Cables, computer adapters, headphones, small supply items

  • Late/damage fees are payable by cash or check written to "Emerson College"
  •   Any personal checks that are returned from the bank due to insufficient funds will result in a $25 fee
  •   Late fees will accrue up to the monetary replacement value of the late equipment

Classroom Deliveries

Many classrooms are already equipped with permanently installed projectors, televisions, and video playback units.

MSC delivers equipment to faculty for use in classes on campus, if equipment is not permanently installed in the classroom. MSC staff do not deliver videotapes, or small, easily carried items.

Delivery requests should be made at least 48 hours in advance. An exact room number and start and end time must be specified for every delivery request. Deliveries are scheduled on a first-come, first-served basis. No more than five equipment deliveries can be made on the hour, so please get your requests in early.

Faculty are responsible for the security of equipment while it is in their possession. Equipment should never be left unattended.
