Emerson College

Steps for Getting an On-Campus Job

  1. You must be registered for a full-time courseload (12 credits for undergraduates and 8 credits for graduates) and be “in status.”

  2. Apply for, interview for, and receive an offer for an on-campus job (jobs must be 20 hours or less per week during the school year). Check http://ecampus.emerson.edu/jobs for job postings.

  3. Fill out the form “Certification of F-1 Student On-Campus Employment for Social Security Number.” This is available from your departmental employer and must be on departmental letterhead. For students with graduate assistantships, you can get this from the Office of Graduate Admission, 120 Boylston St., 5 th floor.

  4. Have your on-campus employer sign “Part A” of the “ Certification of F-1 Student On-Campus Employment for Social Security Number” form. (In the case of Graduate Assistantships, this is signed by Lynn Terrell in the Office of Graduate Admission.)

  5. Have the Office of International Student Affairs (OISA) at 216 Tremont St., 2nd floor, sign “Part B” of the “ Certification of F-1 Student On-Campus Employment for Social Security Number” form. Also bring OISA your passport, I-20, and I-94.

***Please note: the Office of International Student Affairs may be reached at (617)824-7858.

  6. Take the “Certification of F-1 Student On-Campus Employment for Social Security Number” form, a social security application form (download this from http://www.ssa.gov/online/ss-5.html), your valid passport, your I-94 card, and your I-20 form to the Social Security Office. This office is in the O’Neil Federal Building, 10 Causeway Street, 1st Floor, Boston (near the North Station T stop). There are other local offices as well, found at http://www.ssa.gov/boston/MA.htm.

  7. Wait for your social security card to arrive. (PLEASE NOTE: This could take from 3 to 6 weeks to receive, and you will not be able to work during this time! This is a federal law, not an Emerson rule.)

  8. When you have received your social security card, take it to the Student Service Center, Little Building, 80 Boylston St., 1st Floor. Fill out a W-4 Form (this form determines how much tax is withheld from an employee’s paycheck each pay period) and an I-9 form (this form verifies that you are legally able to work in the U.S.— within the confines of your F-1 status). Please see page 2 or 3 of the I-9 form for a list of acceptable documentation that establishes both identity and employment eligibility.

  9. With the W-4 form and I-9 form completed, request a Work Authorization form from Emerson’s Student Service Center. Bring your Emerson ID and your passport, as a representative at the Center will need to look up your student account information. Assuming you are eligible, you will be issued an Emerson Employment work authorization form.

  10. Complete the Work Authorization form. Bring it to your supervisor to complete as well.

  11. Bring the completed Work Authorization form to the Student Service Center for review.

  12. If the Work Authorization form is completed properly, the Student Employment office will process the form. Once this form is processed, your supervisor at your on-campus job will receive an e-mail from the Student Employment Office as notification for him/her to permit you to work. Please note, step 13 generally takes about 3 days.

  13. At this point, you are authorized to work! Congratulations!
