Special Assistant to the Executive Director/Arts

Description:

Emerson College is seeking to hire a Special Assistant to the Executive Director/Arts.  The Special Assistant will work independently to perform a wide range of complex artistic, administrative and clerical duties to support the goals of the Executive Director.

RESPONSIBILITIES:   

  • Establish and maintain relationships with world-renowned national and international artists.  Assist in establishing workshops and forums at Emerson and schedule, staff, organize and manage these events.
  • Oversee multiple events each season, which overlap with the Institutional Advancement.  Manage the budget, choose the vendors, select and contact the invitees/participants and hire/supervise the staff for the events.
  • Serve as key contact for donors and volunteers.  Forging relationships with donors and creating a sense of engagement with the Executive Director is essential to maintaining their interest, involvement with and financial support of the institution.
  • Screen theatre artists and companies interested in being presented at Emerson.  Handle all inquiries from individuals and groups.  Review materials and help rank which are appropriate partners for Emerson.
  • Write descriptions, letters and production narratives for upcoming and past productions.
  • Serve as Office Manager for the department as well as supporting Director of External Affairs. 
  • Hire, train and manage student workers and interns. 
  • Manage correspondence, financial processing, scheduling and  travel for the Executive Director and various other artistic staff when needed, including business operations as well as auditions and artistic planning. 
  • Engage in special projects as needed.

REQUIREMENTS:

  • Bachelor's Degree required. 
  • 3 years experience in Office Management, Theatre Administration or Artist Management required. 
  • Familiarity with contemporary theatre preferred. 
  • Proficiency with Microsoft Office Suite and internet searching.  Knowledge of Photoshop and/or web design preferred.
  • Proven ability to effectively relate to all types of people particularly artists, students and donors.
  • Must possess strong writing and editing skills as well as organizational and research skills and keen attention to detail.
  • Ability to handle complex and confidential materials with expediency and discretion.  Ability to anticipate priorities, preferences and style of Executive Director in his/her absence.
  • Occasional evening and weekend work will be required.
